Hut Procedures

Please…

• Turn off the drying room (not to be left on in an unattended lodge).

• Turn all heaters off

• Shut the windows tightly (onto the tightest latch)

• Turn all lights off

• Check the Fire Exits are locked

• Check the stove elements, ovens and range hoods are turned off

• Remove all your food from the fridge/ freezer

• Are all the rooms clean and tidy

• Remove rubbish

• Evacuate the building via the closest exit

• Meet in the car park between the Matamata club and the Tauranga club

If fire – Call 111 and request FIRE service After calling 111, contact the Hut Officer immediately. Mark Jones – 021 672 600 (Or the Booking Officer –020 405 90376)

If the fire alarm has been activated or it’s a false alarm…

1. Shut off the alarm horns – the key is inside the glass covered box. Insert the key in the left switch on the control box, turn clockwise

2. Do not interfere with the system any further – a subdued electronic alarm will continue from within the control box. This indicates a deactivated system and can only be reactivated by a qualified person resetting the system.

On Arrival

1. The power will always be on. Mains are not to be turned off.

2. Check the fire alarms are set. Any problems call the hut officer or a committee member. If fire alarms are triggered, they need to be reset there is a substantial fee for resetting the alarms payable by the person or persons who trigger the alarm.

3. Check for any damage to the lodge (leaks, broken windows etc)

During Stay

1. Allocate hut duties fairly amongst those staying in the hut.

2. Allocate bunks – unless this has been done by the booking officer.

3. Remind people of the 3 minute shower rule and one shower per day.

4. Note any breakages or shortages.

5. Note any appliance malfunction.

6. Check the levels in the water tanks. See general information sheet.

7. Keep all fire exits clear of snow and ensure occupants know to assemble in the car park below the lodge in if there is a fire.

8. Keep main door and fire exit doors locked at all times for security.

9. Fire escape doors should only be used in an emergency.

10. Run a fire/ evacuations drill every trip to ensure everyone is familiar with the procedure. See general information sheet.

Before leaving

1. Check that all cleaning duties have been completed and rubbish is taken away

2. Check hut supplies – see supplies checklist. i.e. cleaning materials, toilet paper, rubbish bags, coffee, tea etc

3. Close all windows tightly and close all curtains. Close all interior doors.

4. Ensure the door is locked when you leave.

The steriliser needs to be filled once every day and emptied at the end of the day

Wash and rinse all items before sterilising

To fill the Steriliser:

1. Check cone shaped drain cover and base trays are in place.

2. Close door and push on/off

3. Fill cycle will commence.
   When working temp is reached the status bar 6 stays on green

To Sterilise the dishes: 

1. Load tray to steriliser, close door and check programme is on PR1. If not scroll programme button to PR1. 

2. Push start (cleaning cycle will take 2mins). 

3. When the cycle finishes remove the tray and place on bench with the ‘clean’ tag. 

4. Leave the dishes in the tray to dry naturally.

To Clean the steriliser: 

1. Remove right hand base tray and cone drain cover

2. Close door and scroll programme to ‘dr’ 

3. Press start (Steriliser will drain - approx. 5mins) 

4. Clean and replace cone drain cover and base tray 

5. Close door

1. Vacuum all bunkrooms, the top and bottom lounge, hall and dining area. Both vacuum cleaners are in the top lounge.

2. Fold all blankets and store on the shelves in the bunkrooms

3. Sweep and mop all hard floor surfaces (kitchen, bathrooms and toilets)

4. Bathrooms. Clean all three showers, hand basins and toilets. Use Salus spray and PLEASE USE DISPOSABLE GLOVES in laundry cupboard. Use blue wiping paper – dispose of after use

5. Toilets. Clean all three toilets with Toilet Cleaner and brush. Finish seat and surrounds with Salus – dispose of blue wiping paper and gloves after use

6. Kitchen. Clean the benches, ovens, microwave and refrigerators. Do not leave food in the fridges or freezers.

7. Use Salus Spray and wipe using gloves with blue wiping paper. Salus spray can also be sprayed and left to dry on hard and soft surfaces to sanitise and deodorise.

8. Fire places. Place the ashes in the metal cans in the locker-room. Store these cans in the locker- room, when cold transfer the ashes to plastic rubbish bags and dispose of with the rubbish. Do no empty ashes on the ground outside the club. This is against DOC regulations and we will be fined.

9. Ensure the fireplaces are restacked ready for the next group. Leave a full bucket of coal next to the coal shoot. This prevents the trap door blowing open and the dust circulating through the club.

10. Rubbish. Take all rubbish and recycling to the rubbish building at the top of The Bruce. This building is located behind the overnight parking and is well marked.

11. Drying room. Tidy and vacuum

12. Locker room. Tidy and vacuum.

• Please remove all snow from your skis and boots before entering the lodge. There are now brushes in place in the foyer. 

• Put your skis in the ski cupboard under the stairs. 

• The drying room has facility for drying boots upside down. Don’t take them in covered in snow! 

• No boots of any kind to be worn past hall doorway.

• Lockers are available for hire by active members. 

• There are various types of lockers to rent.

• Snowboard racks are now in positions around the locker room.

• Switch for drying room is opposite pump room (firewood room) next to stairs. 

• Empty the dehumidifier at least once a day, but check more often when the hut is full.

• Tools are under the tub. 

• Clean your old wax up if you are tuning and put the tools you use away. 

• Put the stepladders back on their hooks.

Note: The information on this procedure relates to the Top Hut only

Pump room- located under the stairs (firewood room)

• From time to time you will hear the pump come on – don’t be alarmed it is normal. 

• The right hand valve is for the tank located under the floor in the double bunkroom. 

• The left hand valve is for the tank outside the kitchen window. 

• Leave the handle on the valve of the tank being used. 

• Use the outside tank as it holds the most water and fills the quickest. 

• The inside tank fills from the overflow.

• There is a non-return valve behind the pump under the hut to stop the backflow between the inside and outside tanks.

No Water?

• Check that there is water in the tanks. 

• Check which tank is being drawn from and that the appropriate valve is on.  Is it freezing?

• Consider that pipes and the header tank might be frozen. 

• Warm up the hut by lighting the fires.

Water Leaking?

• If there is a leak in the hot water cylinder or the hot water system the tap on the main tank upstairs will turn off the water to the cylinder.

Disconnecting the water supply due to volcanic ash

• In the event of a volcanic eruption, the Top Hut water supply must be disconnected by disconnecting the downpipes. 
